SoleSorted stores your records on your device. The app has no accounts, no servers of ours, and no analytics. Your timesheets, invoices and tax figures are never sent to us, and we cannot see your data.
On iPhone, the app also keeps a safety copy of your records in your own iCloud Drive. It does this on its own, without being asked, so that losing or breaking your phone does not lose your year's paperwork with it. That copy sits in your Apple account, not ours — we have no access to it and never receive it. It is explained in full under Your automatic iCloud Drive copy below, including how to switch it off.
There are also three optional features that contact the internet, and only when you choose to use them — looking up a site address from your location, opening a job in a maps app, and the first-time download of the receipt-scanning engine. They are listed in full under When information leaves your device below.
This app is provided by Lloydy, a sole trader based in the United Kingdom (the "data controller"). You can reach us at Website.Support@SoleSorted.co.uk.
We collect nothing. We do not receive, store, sell or share any of your information. There are no accounts, no cookies, no tracking pixels, no advertising IDs and no third-party analytics anywhere in the app. We have no server that your data could be sent to.
All information you enter — including timesheets, invoices, CIS deductions and calculated yearly figures — is saved on your own device, using the app's on-device storage. On iPhone, a copy of it is also kept in your own iCloud Drive, as described in the next section. Both places belong to you. Neither of them is us.
This section applies to the iPhone and iPad app only. The Mac and web versions do not do any of this.
What happens. The app writes a complete backup of your records into a folder it owns inside your iCloud Drive. Your iPhone then syncs that folder to Apple's iCloud service in the normal way, exactly as it does with any other file you keep in iCloud Drive.
What is in it. Everything the app holds: your timesheets, invoices, quotes, receipts, CIS deductions, mileage, business and customer details, and the photos you have attached to receipts and jobs. It is a full copy, not a summary.
When it happens. Automatically, and without being asked. The app makes a fresh copy shortly after you finish making changes. There is no button to press and no prompt — it is meant to be something you never have to think about.
Why it is there. So that a lost, stolen, broken, dropped or wiped phone does not take your paperwork with it. If you set the app up on a new phone, it will look in your iCloud Drive, tell you a backup is there, and offer to restore it. You are always asked first — it never restores anything over your records without your say-so.
Who can see it. You, through your own Apple ID. And Apple, as the operator of iCloud, under Apple's own privacy policy and whatever iCloud settings you have chosen. Not us. We are not party to it, we are not sent a copy, we cannot request one, and there is no account or server of ours involved at any point. If you are in the UK or the EU and want the legal framing: for this copy you are using your own storage, and we are not a recipient of the data.
How to switch it off. On your phone, open Settings, tap your name at the top, tap iCloud, then Apps using iCloud (on older versions, Manage Storage), and turn SoleSorted off. You can also turn iCloud Drive off entirely. The app carries on working perfectly either way — it simply stops making the copy, and you should then back up by hand from Settings instead. Note that turning it off does not delete a copy that has already been made; see Deleting your data.
Apart from the iCloud Drive copy described above, three optional features need the internet. None of these three sends your timesheets, invoices, figures or photos anywhere. Each one only runs when you tap it.
1. Filling in a site address from your location. If you tap the button that fills in a job's address from where you are standing, the app asks your phone for your location and sends those coordinates to a mapping service to turn them into a street address. On iPhone this is Apple's own geocoding service, built into the phone. On other platforms, and as a fallback, it is OpenStreetMap's free Nominatim service. Your coordinates are sent; nothing else is. We never see them. If you never tap that button, your location is never requested and never sent. You can also simply type the address in by hand.
2. Opening a job in a maps app. If you tap a job's map pin, the app hands the job's name or address to Apple Maps or Google Maps so it can show you the place. That text leaves the app at the moment you tap, and is then handled by Apple or Google under their own privacy policies.
3. The receipt scanner. Reading text from a receipt photo happens entirely on your device — the photo is never uploaded. The first time you use it, the app downloads the scanning engine itself (an open-source library called Tesseract) from the jsDelivr content network. That download is one-way: a program comes in, nothing of yours goes out. The file is checked against a fixed fingerprint so a tampered copy cannot be substituted.
Those three, plus the iCloud Drive copy above, are the complete list. The app contains no analytics, no crash reporting, no advertising and no login, and it never contacts a server belonging to us.
Location is used for one thing only: converting where you are standing into a street address when you ask it to. It is read at the moment you tap the button and is not logged, stored as a history, tracked in the background, or used for anything else. You can refuse or withdraw the location permission in your device settings at any time and every other part of the app keeps working.
There are three ways a copy of your records can exist outside the app, and all three are yours.
The app's own iCloud Drive copy, made automatically on iPhone — see Your automatic iCloud Drive copy above.
Your phone's own backup. If you back up your phone, whether to iCloud or to a computer, your app data may be included in that backup. That is controlled entirely by your own device and Apple's settings, not by us, and we never receive a copy.
Backups you make yourself. The app lets you save a full backup file or a CSV export and send it wherever you like — email it, drop it in Files, put it on a computer. Once you have chosen where it goes, that copy is yours to look after, and this policy no longer governs it.
You can clear everything from inside the app at any time, or delete the app from your device, which removes the information stored on that device.
Please read this part if you are deleting the app on an iPhone. Deleting the app does not automatically remove the copy in your iCloud Drive — that copy is deliberately built to outlive the app, so that reinstalling or moving to a new phone can bring your records back. If you want it gone as well, delete it yourself: open the Files app, go to iCloud Drive, find the SoleSorted folder and delete it, then empty Recently Deleted. You can also remove it from Settings → your name → iCloud → Manage Storage. Until you do that, a full copy of your records remains in your own Apple account.
We hold nothing, so there is nothing for you to ask us to erase. If you would like that confirmed in writing for your own records, email us and we will confirm it.
This app is a business tool intended for adults and is not directed at children under 13.
If this policy changes, we will update the date at the top of this page.
